Tone is what the reader hears, not what you meant

Email strips out voice and facial expression, so readers fill the gap themselves, and they tend to fill it negatively. In a well-known study published in the Journal of Personality and Social Psychology (Kruger, Epley and colleagues, 2005), senders were confident their sarcastic or serious tone would come across, but recipients identified it only a little better than chance.

That is why the checker looks for concrete signals rather than guessing at your intent.

A quick tone checklist before you hit send

  • Does the first line say what you need?
  • Is every deadline an actual date?
  • Is there at most one exclamation mark, and no ALL-CAPS?
  • Could any sentence be read as blaming the reader? Rephrase it around the task.
  • Would you say it this way face to face?

Questions people ask

How does the email tone checker work?

Two layers. Instantly, in your browser, it counts tone signals: apologies and hedges (unsure), pressure words like “ASAP” or “per my last email” (pushy), politeness markers (warm), decisive verbs (confident), formal and casual register words, exclamation marks and ALL-CAPS. On request, an AI reads the whole message and tells you how it is likely to land with the reader, quoting the risky phrases.

What makes an email sound rude or passive-aggressive?

Phrases that imply the reader failed: “per my last email”, “as I already said”, “going forward please”, “you should have”. Short commands without a please, stacked exclamation marks, ALL-CAPS and a one-word sign-off also push the tone towards cold. The fix is usually to state the request plainly with a reason and a date.

How do I sound more confident in emails?

Remove the hedges: “just”, “I think”, “maybe”, “sorry to bother you”, “does that make sense?”. Replace “I was wondering if you could” with “Could you”, and “as soon as possible” with an actual date. Confident is not the same as blunt: keep the please and thank you.

Can it rewrite my email in a different tone?

Yes. Pick professional, friendly, concise, confident, diplomatic, formal or plain, and press Rewrite. The AI keeps your facts, names, numbers and dates and changes only the wording.

How can I check the tone of a sentence?

Paste just that sentence into the box. The tone dials and signals update instantly, and the AI tone read quotes the exact phrase that could cause friction and suggests an alternative. For a single sentence, try reading it aloud in an irritated voice: if it still works, the tone is safe.

How do you identify the tone of a text?

Look at word choice (please and thanks versus must and immediately), certainty (hedges like maybe and just versus will and recommend), formality (hereby versus hey), punctuation (exclamation marks, ALL-CAPS) and what is left unsaid (no greeting, one-word sign-off). The checker scores each of these signals.

Can it help me reply to an email?

Yes. Paste the email you received and press “Draft a reply”. The AI answers each question or request in the tone you choose and leaves [placeholders] where it needs facts only you know, so nothing is invented.

Is my email private?

The instant tone signals never leave your browser. The AI features send the text to our model only when you press the button, and we do not store it.
