How to write concisely

  1. Lead with the point. Delete openers like “I am writing to let you know that”. Start with what you know or need.
  2. Swap phrases for words. “In the event that” → “if”. “At this point in time” → “now”. The table below lists the common ones.
  3. Free the hidden verbs. “Conduct an analysis of” → “analyse”. “Give consideration to” → “consider”.
  4. Cut doubled words. “Each and every”, “first and foremost”, “end result”, “past history”.
  5. Prefer active voice. “The decision was made by the board” (7 words) → “The board decided” (3).

Questions people ask

What is concise writing?

Concise writing says what it needs to in as few words as possible without losing meaning or politeness. It is not the same as short: a concise report can be long if it has a lot to say. It just has no words that do no work.

How do I write more concisely?

Five habits cover most of it: replace wordy phrases with single words (“due to the fact that” → “because”), cut filler (“just”, “really”, “basically”), turn hidden verbs back into verbs (“make a decision” → “decide”), use active voice, and delete throat-clearing openers like “I am writing to” or “It is important to note that”.

What is a wordiness checker?

A wordiness checker scans your text for phrases that have a shorter equivalent and suggests the replacement. This one checks against more than 50 common business phrases and can apply every fix in one click, then an AI tightening pass handles what rules can’t.

Is concise writing always better?

Nearly always in business. But don’t cut the context the reader needs, or the courtesy that keeps a relationship warm. “Thanks for turning this round so fast” is not wordiness.
